Need a preceptor fast for a CUW clinical? Count back from the start
With a Concordia University Wisconsin clinical start in sight, speed comes from three things: a site that already has a clinical contract with CUW, a preceptor whose documents are in hand, and a proposal complete enough to clear graduate faculty on the first read. Count back from your start date, then put every hour into the sites that can realistically meet it.

Count back from your start date
CUW's current pages publish no proposal deadline, so the working numbers come from archived documents. The undated proposal form, archived in 2023, wanted each preceptor and site submitted no later than 4 weeks before clinicals began, and it said a contract could take up to 12 weeks. The 2014-15 handbook put a new contract at 8 to 12 weeks. Confirm today's timing with the Graduate Clinical Coordinator; the table below simply applies the archived gaps to the 2026-27 calendar.

If the 12-week date has already passed, a site that needs a brand-new contract is a long shot for that term. Put a site with a contract already in place at the top of your list. The deadlines guide has the fuller calendar.
The kind of site that can move quickly
In the 2014-15 process, once a proposal cleared its first review, the Clinical Contract Coordinator checked whether CUW already had a contract with that site. When one existed, there was no new contract to wait for. So your fastest candidates are practices where other CUW students have trained, or the same organization under a contract you already know about. Put that question to the Graduate Clinical Coordinator.
The slowest candidates are large systems with their own calendars. Ascension Wisconsin wants requests at least 8 weeks before the start, Marshfield asks for applications four months ahead, and Froedtert with MCW closes spring requests in early September. None of those can be rushed from the student side, so on a tight clock they belong on the list for a later term. The systems page has each one's rules.
Have the paperwork ready before you ask
Speed is lost to missing pieces. The 2014-15 handbook said incomplete forms were not processed, so a proposal that needs a second round costs you the days you were trying to save. Line up the following before the preceptor says yes:
- The preceptor's current license, CV and national board certification, the documents CUW's archived handbook asked for.
- Site details: name, address, setting and the patient population, so faculty can see the fit with your course.
- Your own clearance: the CastleBranch background check CUW requires on acceptance, current CPR and any vaccinations the site demands.
- A plan for the site's extras. CUW's archived form told students to ask the site about its own paperwork, orientation or computer training once approval came through.

A week-by-week sprint
- Days one and twoTell your course faculty and the Graduate Clinical Coordinator your start date and that you have no preceptor yet. Ask which sites already hold a CUW contract.
- Rest of week oneContact contracted sites and independent practices in your setting, with a short note naming the course, the hours and the weeks.
- Week twoOn the first yes, collect the preceptor's documents the same day and fill in the proposal while the details are fresh.
- Week threeSubmit a complete proposal, answer any faculty question within a day, and start the site's own onboarding in parallel.
- ThroughoutKeep one or two other interested practices warm and informed until graduate faculty approve your first choice.
If the date cannot be met
Sometimes the honest answer is that this start is out of reach. Under the archived 2014-15 handbook, a clinical began on the latest of three dates: the contract in place, all school and site documents approved, or the first day of the semester. No patient care was allowed before a contract existed. Talk to your course faculty about what a later start means for your course, and whether an 8-week Session II start is an option in your progression plan. Keep their answer in your CUW Webmail so you can plan the next term around it.

Questions CUW students ask
Can I start seeing patients before the clinical contract is signed?
Not under CUW's archived process. The 2014-15 handbook barred patient care until a contract was in place, for liability reasons, and set the start date as the latest of the contract, document approval and the semester's first day. Confirm the current rule with the Graduate Clinical Coordinator before your first shift.
Is CUW's proposal deadline still four weeks before clinicals?
The four-week rule comes from an undated CUW proposal form archived in 2023. CUW's current public pages publish no proposal deadline, form name or contract lead time, so your course faculty and the Graduate Clinical Coordinator have the current dates. Plan as if the four weeks still apply.
Can I push my clinical to an 8-week Session II?
CUW's calendar runs Session II from October 19 in fall and March 15 in spring. Whether your clinical can run then depends on your progression plan: CUW's 2024 MSN plans label the clinical courses 8 weeks, while the catalog grid gives them no session tag. Ask your advisor before counting on it.
What slows CUW approval down the most?
Going by CUW's archived process, three things stand out: a site that needs a new clinical contract, a proposal missing documents, and a site that does not fit your course, such as an acute care unit for an FNP. The first takes weeks; the other two send the proposal back for another round.
