Questions CUW nursing students ask about preceptor placement

Can I use a placement service for CUW clinicals?
CUW's rule is about the result, not the route: students identify and secure clinical preceptors, and graduate faculty approve them for appropriateness. No CUW page we reviewed mentions placement services at all. Whether a preceptor comes through a colleague, a cold call or our desk, the same faculty review applies, with the same documents and the same standard.
What a service changes is the work before that review. Our desk does the searching and the vetting, so the proposal you file names a preceptor already checked against CUW's rules. The approval stays with CUW, and your relationship with your course faculty stays yours. If you are weighing your options, placement options compared sets them side by side.
What help does CUW itself give graduate students?
The catalog names the Graduate Clinical Coordinator (a role the 2023-24 catalog titled Clinical Contract Coordinator) as available for assistance, and the AGPCNP page counts the review and approval of clinical placements among the ways it supports students. The FNP page says you will work with CUW faculty to identify clinical sites, a gentler phrasing than the catalog's, yet every current source leaves securing the preceptor to the student.
CUW does arrange clinicals in its pre-licensure programs. In the Direct Entry MSN, CUW's page says the school lines up the clinical sites, and Traditional BSN students rotate through CUW's area healthcare partners. RN to BSN students complete their clinical hours where they already work. The graduate clinical coordinator page sorts out who does what.
Can I do clinicals where I work?
The organization you work for can be a site; the unit you work on cannot. CUW's 2014-15 handbook and its undated proposal form allowed the same employer and ruled out your own department, and a student found working in their own unit was pulled from the site and lost those hours. The 2022 MSN page accepted an employer site that met CUW's credential requirements.
A job is no shortcut, though. CUW's 2022 blog pointed out that many sites want students to be their employees, and that a paycheck from a health system does not by itself earn you a clinical slot there. Can a physician or PA be my preceptor?
Under CUW's archived NP rules, yes, within limits. The 2014-15 handbook accepted four kinds of preceptor, NPs, PAs, CNMs and physicians (MD or DO), required at least 50 program hours with an NP, and asked NPs, PAs and CNMs for national board certification, which it left optional for physicians. It also held any single preceptor to 400 program hours or fewer and limited you to two preceptors in a semester unless faculty approved more.
Current CUW pages publish no credential list, and nothing speaks to PMHNP preceptors in particular. Treat the archived rules as a starting point and confirm them with your course faculty. The preceptor requirements page dates each rule so you can see how old it is.
What if I live outside Wisconsin?
Two checks come first. CUW's Distance Education Disclosure shows, program by program, where it meets licensure requirements: 26 states for the MSN primary care NP, fewer for the DNPs and certificates, and no row at all for the PMHNP MSN and PMHNP DNP. The catalog also makes it your job to confirm the program is eligible in the state where your clinicals happen.
Your state guide on this site pairs CUW's row for your state with that state's board and compact status. Start from licensure disclosures, and ask the Graduate Clinical Coordinator in writing about any state where CUW's sources disagree, Washington being the clearest case. Before August 2024 CUW's table marked every state as meeting requirements, so older advice from classmates may be out of date.
How early should I start looking?
A semester ahead at the least. CUW's archived proposal form wanted paperwork at least four weeks ahead of the clinical start, and missing that date meant sitting out both the clinical and its matching course. A new clinical contract could take 8 to 12 weeks under the 2014-15 handbook. Wisconsin health systems layer their own calendars on top: Marshfield Clinic wants applications four months out, and the Medical College of Wisconsin process runs on fixed deadlines.
Current CUW pages publish no deadlines, so your term's dates come from your course faculty and the Graduate Clinical Coordinator. If your semester starts within weeks, say so at intake and we plan around the date you have. The clinical deadlines page gathers the dates that are on record.
Questions CUW students ask
Does CUW keep a list of preceptors or sites for graduate students?
No public CUW source mentions a preceptor database or site list for graduate NP students; what CUW describes is coordinator assistance. Ask the Graduate Clinical Coordinator whether sites that hosted earlier CUW students are open to you, since a site with a clinical contract already on file can save weeks.
Which clinical tracking system does CUW use?
CUW's 2013-2015 handbooks used Typhon for hour logs, schedules and evaluations, but no current CUW source names a system. Your course faculty will tell you where to log hours and upload evaluations; see clinical logs and evaluations for how the archived process worked.
Does a preceptor in Wisconsin need a Wisconsin license?
Yes. Wisconsin's rule N 1.08(6) says a nursing school's clinical preceptors must hold an unencumbered Wisconsin license or privilege, at a licensure level no lower than the one the student is working toward, and the school's faculty must approve them. Since September 1, 2026, Wisconsin issues an APRN license where it used to grant the APNP credential.
Will CUW faculty visit my clinical site?
CUW's 2022 FAQ and 2022 blog both described at least one site visit a semester by the clinical instructor, more if needed, and the 2014-15 handbook had the clinical adjunct watch at least one patient encounter at mid-term. Tell your preceptor about the visit early so it is easy to schedule.
Do I need CastleBranch before I have a preceptor?
CUW's Post-BSN DNP and CAGE pages require the Castle Branch background check once you are accepted, so it normally comes before your first clinical search is done. Sites then add their own vaccination and onboarding items. The CastleBranch page explains what the account tracks.
